The Igloo Digital Assistant, powered by Workgrid, drives engagement in your digital workplace through an intelligent digital assistant that unifies your enterprise tech stack into one digital destination. You can access a button in the Top Bar or the Igloo Flex Mobile app's Home tab that can be configured to show relevant information and simplify workflows.

Details

Once you sign in to your digital workplace, you can access the Igloo Digital Assistant and the information presented in it without authenticating with any additional services. However, if you select an option that takes you to an app's native website, you may be required to enter your authentication credentials.

Components of the Igloo Digital Assistant

The Igloo Digital Assistant button in the Top Bar or Igloo Flex Mobile app in the Home tab categorizes information into these areas (The content of these areas depends on the third-party apps you have configured.):

  • Get my notifications: Contains a feed of event-based notifications (e.g., ticket updates, etc.).
  • Show my action items: Contains a feed of event-based notifications that require action (e.g., expense approvals, time off requests, etc.).
  • See all apps: Contains micro-apps that provide information and simplify processes (e.g., Payday app, Time off, Time Planner, etc.).
  • Chat box: Contains a chatbot that helps connect users with information, people, and documents (e.g., FAQs and incident management).

The Igloo Digital Assistant supports various third-party applications (e.g., UKG, Concur, IT Help Desk, etc.). To view what options are available and how to configure them, see Workgrid's App Integrations.

Configure the Igloo Digital Assistant

As a workplace administrator, you can configure the Igloo Digital Assistant on the Digital Assistant page. Configuration options include:

  • Igloo Digital Assistant credentials (Workgrid)
  • Workplace group used to sync with Igloo Digital Assistant
  • Workplace to Igloo Digital Assistant field mapping
  • Syncing options
  • Whether to display the Igloo Digital Assistant to users in the defined group. 

Keep in mind that: 

  • User synchronization: When first turned on, all users in the associated workplace group are synced to Workgrid once. Ongoing updates (e.g., adding/removing a user, changing name, changing email) are pushed as they occur. The following profile fields from your digital workplace are pushed to Workgrid using SCIM (System for Cross-domain Identity Management):
    • Username
    • First Name
    • Last Name
    • Email
    • Configured field mappings
  • Data storage: Data used in third-party apps is requested on the fly via API calls and displayed to the user. None of the data from the API calls is stored or cached. Workgrid stores only the user information detailed above.
  • Service interruption: During a sync of the Igloo Digital Assistant, users who are currently being synced may not see the Igloo Digital Assistant until sync has completed.
