Create a CSV file for Bulk User Upload

As part of the Bulk User Upload process, you must create a CSV file to bulk add new users to the digital workplace and update profile information and group membership for existing and new users.

Create a CSV file for adding users

Use this process the first time you are adding users or adding additional new users: 

  1. On the Top Bar, select Admin Settings.
  2. Under Administration in the left side panel, select Users.
  3. In the top right of the page, select Menu, and then Bulk User Upload.
  4. Above the upload box, select download and use the latest CSV template.
  5. Open the CSV file using Microsoft Excel or an equivalent spreadsheet editor.
  6. Under the header row that identifies your digital workplace's profile fields and groups, add the users to upload. Keep in mind that: 
    • Do not remove any header columns from the CSV file. 
    • Each user should be on a separate row. These fields are required for each user. These fields may be renamed; you should look for the field name within the () parentheses:
      • First Name
      • Last Name 
      • Username (this value must be unique for each user)
      • Email and/or Cell Number
      • Enrolled in at least one group (enter Enrolled to add a user to a group)
    • Other field values may be left blank. The upload process ignores any blank field values.
    • For users who will authenticate via SSO, Username is the default field for authentication if no value is supplied in the Identity Provider ID field. The value must match the value provided by the Identity Provider and be unique for each user.

  7. When finished, save your CSV file.

The CSV file is now ready to upload these users to the digital workplace. To continue the process, see Add or update users with Bulk Upload.

Create a CSV file for updating users

Use this process when updating existing users and adding new users to the digital workplace at the same time: 

  1. On the Top Bar, select Admin Settings.
  2. Under Administration in the left side panel, select Users.
  3. In the top right of the page, select Menu, then Bulk User Export (CSV).
  4. When prompted, select Export. You will be redirected to the Recent History tab of the Users page. 
  5. (Optional) If you need to cancel the export, next to the export, select Menu, and then Stop Upload.
  6. When the Export process has been completed, next to the export, select Menu, then Download Exported Users
  7. Open the CSV file using Microsoft Excel or an equivalent spreadsheet editor.
  8. Under the header row that identifies your digital workplace's profile fields and groups, you can modify user values and add new users. Keep in mind that:
    • Do not remove any header columns from the CSV file. 
    • Each user should be on a separate row. These fields are required for each user. These fields may be renamed; you should look for the field name within the () parentheses:
      • First Name
      • Last Name 
      • Username (this value must be unique for each user)
      • Email and/or Cell Number
      • Enrolled in at least one group (enter Enrolled to add a user to a group)
    • Other field values may be left blank. The upload process ignores any blank field values. Enter CLEAR_FIELDto remove a value from a user's profile field in the digital workplace. 
    • For users who will authenticate via SSO, Username is the default field for authentication if no value is supplied in the Identity Provider ID field. The value must match the value provided by the Identity Provider and be unique for each user.

  9. When finished, save your CSV file.
