A group is a collection of users who are intended to interact with the digital workplace similarly. Groups allow workplace administrators to organize users and assign roles with their associated access permissions to organize the users' ability to interact with a site.
Details
View a group
As a workplace administrator, you can view details about a group on the Groups page by selecting Menu next to a group and then View Details, which displays the group's details (Name, Description, and Type), users in the group, and sites and permissions the group has been assigned.
Create a group
As a workplace administrator, you can create static groups (i.e., users added manually) or dynamic (i.e., users are added via preconfigured rules based on users' profile data) on the Groups page. For more information, see Add or edit a group.
Once users have been assigned to groups, you can assign access permissions via a group's role for a site in the Site Manager. The group must be assigned a role for a site to allow the group's users to interact with the site. Subsites do not inherit permissions from other sites in the site hierarchy. When assigning group access permissions, keep in mind that:
- Root directory access: To access pages and content in the digital workplace, a user must be in a group with an assigned role for the root directory (i.e., top location in the site structure, which may be named Home) in the Site Manager.
For more information, see Assign or edit access permissions for a site or Remove access permissions for a site.
Add or remove users from a group
As a workplace administrator, you can manually assign users to static groups on the Groups page or via the Bulk User Upload feature on the Users page. Digital workplaces utilizing SCIM (System for Cross-domain Identity Management) can automatically assign users to groups when provisioned into the digital workplace. When adding or removing users from groups, keep in mind that:
- Dynamic groups: You cannot manually add or remove users from dynamic groups, but features like Bulk User Upload or SCIM can.
For more information, see Add users to a group or Remove users from a group.
