Account

An account is the membership created for each digital workplace user. You must log in with your account to access the digital workplace's content.

Account activation

Your account must be activated before you can access sites in the digital workplace. 

  • Users signing in via Igloo authentication: Accounts are activated via email or SMS text message, supplying your username, which can be entered on the digital workplace Account Activation page. To visit this page, append /activation/validate to the root URL of your digital workplace. See Activate your account.
  • Users signing in via SAML SSO authentication: Accounts are automatically activated during creation. 

Once an account has been activated, the user can visit any site where they have the appropriate access permissions to view in the digital workplace. 

Active status in the digital workplace 

A workplace administrator or an automated process, such as SCIM, may deactivate your account to prevent you from accessing the digital workplace. This is a common practice for handling a long-term leave where you will return to the organization later. While your account is deactivated, you do not appear in widgets and search results. Your account can be reactivated later, and you will not have to repeat the account activation process. For more information, see Activate or deactivate a user.

Account cooldown

If you have failed to log in 5 times per login session, your account will be placed in a 10-minute cooldown period. During the cooldown, you cannot log into the digital workplace. However, you can reset your password or contact a digital workplace administrator to request a password reset, allowing you to log into the digital workplace. Account deletion

When your account is deleted, you may be re-added to the digital workplace, but you will have a new account and username with no connection to the old account or the content connected to the old account. Users can be deleted individually, using the Bulk User Delete feature, or automatically via the SCIM feature. 

Account compliance

Workplace administrators should ensure that:

  • Each user accessing the digital workplace has an account.
  • Account and profile information is true and accurate.
  • Only users may access and use any password-protected (non-public) areas of the digital workplace.
  • Each user maintains the confidentiality of and is the sole user of the username and password for the account.
  • Users do not transfer any account to any other individuals without Igloo's prior written approval.
  • Users comply with the Acceptable Use Policy.
  • Users access the digital workplace with a supported browser.
