Add or update a file

You can add or update a file to share it with your organization via the Igloo Flex-based File Manager.

Considerations

  • Access permissions: When files are uploaded, they automatically inherit the access permissions of the folder where they are uploaded unless inheritance is specifically turned off. See Add or edit access permissions to a file or folder.
  • File and folder visibility: Files and folders will only be available to view or update if the user has appropriate access permissions for the file or folder. 
  • File size type: All file types are supported. 
  • File size limit: File size must be smaller than 2 GB. 
  • Upload limit: 150 files may be queued to upload at one time. Files will be uploaded 2 at a time until they are completed. Users may continue navigating the digital workplace while the upload completes. 
  • File preview: Some files, such as documents, images, or videos, when uploaded, will automatically create a file preview to be used through the digital workplace. As of October 10, 2025, when videos are uploaded to the File Manager, they will automatically be transcoded into an MP4 video of various resolutions (360p, 480p, 720p, 1080p) to support unusual file types, video playback, and file preview in the digital workplace. This does not apply to videos uploaded before October 10, 2025. It will take several moments before the preview thumbnail is available. Users will still have the ability to download the original formatted video or one of the MP4 file versions. 

Who can do this?

  • Workplace administrators
  • Users with file manager roles of owner, full, or editor for the current file or folder

Add a file

  1. On the Top Bar, select Profile Menu, and then Manage Files
  2. Select Add new, and then File
  3. In the file browser window, navigate to the files you want to upload from your device. Hold Shift or Ctrl and select the file names to select multiple files.
  4. Select Open to start the upload process. You can monitor the upload progress in the File Upload window at the bottom of the screen while continuing to browse or work in the digital workplace. 
  5. (Optional) The Upload Options window will inform you if there is a file with the same name. Select from the following:  
    • Replace existing files: This does not affect any assigned access permissions from the original file. 
    • Keep both files: Add the new file with (x) appended to the file name, where X is the number of the additional version. For example, Portfolio(1).pdf.
  6. (Optional) When files are uploaded, they automatically inherit the access permissions of the folder where they are uploaded. To change an individual's file's access permissions, see Add or edit access permissions to a file or folder.

Update the contents of a file

  1. On the Top Bar, select Profile Menu, and then Manage Files
  2. Find the file by navigating the folder structure or using the search bar above the file system. 
  3. Select Add new, and then File
  4. In the file browser window, navigate to the file you want to upload from your device. To replace a current file, the file on your device should have the same file name as the file in the digital workplace. 
  5. Select Open to start the upload process. You can monitor the upload progress in the File Upload window at the bottom of the screen while continuing to browse or work in the digital workplace. 
  6. When prompted, select Replace existing files. Replacing the file does not affect any assigned access permissions. 
  7. (Optional) When files are uploaded, they automatically inherit the access permissions of the folder where they are uploaded. To change an individual's file's access permissions, see Add or edit access permissions to a file or folder.

Update a file's name

  1. On the Top Bar, select Profile Menu, and then Manage Files
  2. Find the file by navigating the folder structure or using the search bar above the file system. 
  3. Next to the file, select Menu, and then Details.
  4. In the File Details side panel, update the file name in the Name field. 
  5. Select Update.
