Assign or edit access permissions for a file or folder

You can assign or edit existing access permissions to a file or folder to share it with other users in the digital workplace via Igloo Flex's File Manager.

Considerations

  • Access permissions changes: The next time affected users refresh their browser or log in to the digital workplace, access permissions changes will be updated.
  • Remove access permissions: To remove access permissions for a user or group, see Remove access permissions to a file or folder.
  • Owner role: When adding users or groups with the file management role of owner, primary file ownership is not transferred if there is a current file owner. To transfer primary file ownership, see Transfer file or folder ownership.
  • Inheritance: A file or folder may have its own set of users and groups with unique access permissions or inherit the access permissions from the folder containing it.

Who can do this?

  • Workplace administrators
  • Users with file manager roles of owner or full for the current file or folder

Assign access permissions for a file or folder

  1. On the Top Bar, select Profile Menu, and then Manage Files
  2. Navigate to the folder structure to find the folder or file. 
  3. Next to the file or folder, select Menu, and then select Access.
  4. (Optional) Files and folders have access inheritance turned on when uploaded, unless specifically turned off. To customize access:
    1. Toggle Inheritance from parent folder.
    2. When prompted, select Yes
  5. Select Add access.
  6. In the Select a Role dropdown, select from the following roles:
    • File/Folder Editor Role
    • File/Folder Full Role
    • File/Folder Owner Role
    • File/Folder Viewer Role
  7. In the Add new access field, search for users or groups to provide access to the file or folder. 
  8. Select Add.

Note:

Access permissions changes will be updated for affected users the next time they refresh their page in the browser or log in to the digital workplace.

Edit access to a file or folder

To change the user assigned to the primary owner role for the file or folder, see Transfer file or folder ownership. Otherwise, follow these steps: 

  1. On the Top Bar, select Profile Menu, and then Manage Files
  2. Navigate to the folder structure to find the folder or file. 
  3. Next to the file or folder, select Menu, and then select Access.
  4. Files and folders have access inheritance turned on when uploaded, unless specifically turned off. To customize access:
    1. Toggle Inheritance from parent folder.
    2. When prompted, select Yes
  5. Locate the user or group in the list. Or use the search box above the list to search for the user or group. 
  6. Next to the user or group in the Access Type column, select the dropdown and choose from the following roles: 
    • File/Folder Viewer Role
    • File/Folder Editor Role
    • File/Folder Full Role
