File Preview

If files uploaded to your digital workplace are a supported file type, previews will be generated. File previews allow digital workplace users to view and interact with these previews without downloading the file.

Components of File Preview

Setting Description
1. File Manager breadcrumbs Breadcrumbs appear automatically above the File Preview page and show a map of your navigation path. They make it easy for you to identify where they are in the File Manager and how they got there by providing links to previously visited folders in your navigation path.
2. File title Displays a file type icon and the file's title. 
3. Misc. Area

Use the following features: 

  • Like: React to the file. 
  • Download: Download the file to your device. For videos, you can choose from 1080p, 720p, 480p, or 360p resolution in .mp4 or the original format. 
  • Menu: Select to choose one of the following options:
    • Details: View details about the file. See the File Details table in File.
    • Access: View and define the file's access roles. Users or groups may be added with a defined role, or inheritance may be allowed to copy the containing folder's access rules. Only visible to users with File Manager roles of full or above. 
    • Copy Link: Copies a direct URL link to the file to the clipboard. Paste this link elsewhere to share it. To access the file, users must have file access of a viewer role or above and be signed into the digital workplace.
    • Copy Embed Code: Copy an embed code to the file to the clipboard. See Embed a file into content to use the code. To access the file, users must have file access of a viewer role or above and be signed into the digital workplace.
    • Download: Download the file to your device. 
    • Move: Move the file within the File Manager. This option is available to users with File Manager roles of editor or above. 
    • Delete: Delete the file from the File Manager. This option is available to users with File Manager roles of full or above. 
4. File Preview

Use the following features in the File Preview bar: 

  • Thumbnail: Select to open a thumbnail side panel, which allows you to select a page to open. 
  • Previous Page: Select to go to the previous page. 
  • Page Number: Enter a page number and press Enter to go to that page. 
  • Next Page: Select to go to the next page. 
  • Zoom Out: Select to zoom out on the content. 
  • Zoom Level: Select a zoom level. 
  • Zoom In: Select to zoom in on the content. 
  • Search: Select to search the file by text. The search can be case-sensitive or match whole words. Text will be highlighted in the file; you can use the arrows to navigate each result. 
  • Print: Select to print the file. 
  • Full screen: Select to view the file in full-screen mode. 
  • More Actions: Select to choose one of the following options:
    • First page: Select to go to the first page. 
    • Last page: Select to go to the last page. 
    • Rotate clockwise: Select to rotate the content clockwise by 90 degrees.
    • Rotate counterclockwise: Select to rotate the content counterclockwise by 90 degrees.
    • Text selection tool: Select to highlight and copy text in the file. 
    • Hand tool: Select to grab and drag the file instead of scrolling. 
    • Page scrolling: Select to scroll on the current page of the file only. 
    • Horizontal scrolling: Select to scroll on all pages of the file horizontally. 
    • Vertical scrolling: Select to use the bottom scrollbar to view pages from left to right. 
    • Wrapped scrolling
    • Single page: Select to display a single file page at a time. 
    • Dual page: Select to display multiple file pages at a time. 
    • Dual page with cover: Select to display multiple file pages with the cover page at a time. 

As the width of the preview interface shrinks, other available tools are moved under this menu.

The file's preview is displayed in the window. For videos, the following options are available: 

  • Play / Pause: Select to play or pause the video. 
  • Progress bar: Select and drag the handle to move forward or backward in the video. 
  • Volume control: Hover over the icon and use the volume bar to change the video's volume level. 
  • Fullscreen: Select to view the video in full-screen mode. 
  • Menu: Select to access the following options: 
    • Download: Select to download a copy of the video. 
    • Captions: Select to turn captions on or off when available.
    • Playback speed: Select to choose a playback speed. Options include: 
      • 0.25 
      • 0.50
      • 0.75
      • Normal (default)
      • 1.25
      • 1.50
      • 1.75
      • 2.0
    • Picture in picture: Select to watch the video in a small, resizable window while you use other apps or browse different pages. The video "pops out" into a floating window that stays on top of everything else on your screen and can be moved wherever needed.
5. Comments Use this area to leave a comment on the file or reply to other users' comments using the compact rich text editor

Supported file types

You can preview the following file types in the digital workplace:

Other file types are not previewable and, where applicable, will be opened in your device's browser or downloaded to your device when opened. Keep in mind that: 

  • Password-protected files: Files with password protection cannot be previewed. 

Thumbnails in the digital workplace

Throughout the digital workplace, certain locations will utilize file preview to display a thumbnail version of the file preview. Typically, this only applies to documents, images, or videos. Locations include: 

As of October 10, 2025, when videos are uploaded to the File Manager, they will automatically be transcoded into an MP4 video of various resolutions (360p, 480p, 720p, 1080p) to support unusual file types, video playback, and file preview in the digital workplace. This does not apply to videos uploaded before October 10, 2025. It will take several moments before the preview thumbnail is available. Users will still have the ability to download the original formatted video or one of the MP4 file versions. 

Embed files in content

As a workplace administrator, site administrator, or creator, you can embed files (documents, images, and videos) that can be previewed directly into content such as articles, wikis, a file preview widget, or an HTML content widget on a page. See Embed a file into content. Remember that files cannot be embedded outside the digital workplace. Keep in mind that: 

File attachments

As a workplace administrator, site administrator, or creator, you can add file attachments to content like articles, events, and wikis. If those files can be previewed, users can select the file attachment to preview the file. Videos uploaded as a file attachment before November 21, 2025, will not be previewable.
