Configure a files and folders widget

You can configure a files and folder widget to display selected files and folders from the File Management page on a page

Considerations

  • Files and folders:
    • The files and folders you select will only be shown to users with the appropriate roles and associated access permissions to view them.
    • Selecting a folder syncs all its contents into the widget, including new items added.
    • Selecting specific files syncs only the selected items.

Who can do this?

  • Workplace administrators 
  • Site administrators

Set up

  1. On the Page Builder, select New Widget.
  2. From the Widget List, select the handlebars next to the files and folders widget to drag and drop the widget into place on the Page Builder. 
  3. Select the placed widget's Edit button.
  4. Review and make changes to the settings in the Configuration side panel. See the Settings section below for more details. 
  5. In the Configuration side panel, select Save to apply your changes or Cancel to discard them.  
  6. At the top of the Page Builder, select Save Page to save your changes.

Settings

Setting Description
Expand / Collapse Select to expand and collapse the configuration side panel for increased visibility. 
Widget Title

Enter a title for the widget. The title appears as a heading above the widget's contents to provide context to the widget and structure the page's content with defined sections.

When entering a title, you do so only for the currently selected language. To enter the title for other languages, select the desired language from the Widget Title Languages dropdown and enter a title in Widget Title

Widget Title Text Color

Select a color swatch from the available color palettes or enter a hexadecimal color code for the title's text. The digital workplace's theme configures the availability of palettes and the use of hexadecimal colors. 

To enter a hexadecimal color code, use the format: #99FF33

Widget Title Bar Background Color

Select a color swatch from the available color palettes or enter a hexadecimal color code for the title bar's background color. The digital workplace's theme configures the availability of palettes and the use of hexadecimal colors. 

To enter a hexadecimal color code, use the format: #99FF33

Widget Title Languages Select a language from the dropdown to enter a Widget Title translation in the currently selected language.
Make Widget Full Width (Optional) Select to expand the widget to the full width of the available area or page.
Select Files & Folders to Add

Select files and folders to display in the widget.

You can only view files and folders for which you have access permissions. A warning will be displayed if another user has pre-selected files and folders in the widget that you cannot see due to access permissions. Contact a previous editor or a workplace administrator for help. 

  1. If no files or folders are currently selected, choose Select. If files and folders are already chosen, select Edit to choose different items or X to remove all selected items. 
  2. Select the checkboxes next to the file or folder you want to include in the widget. Select Expand next to a folder to view its contents.
    • The files and folders you select will only be shown to users with access permissions to view them.
    • Selecting folders syncs all folder contents into the widget, including new items added to the folder after the widget is configured.
    • Selecting specific files syncs only the selected items.
  3. (Optional) Toggle Hide Parent Folder(s) when published to hide top-level folders when selecting a subfolder or file within a folder. Any subfolders or files contained within them will still be shown. 
  4. To apply your changes, select Add Selected Items.
Layout

Select a layout style for the widget:

  • List View (Default): Displays files and folders in a vertical list where users can select links to dive into the folders and open the files.

  • Grid View: Displays files and folders in a grid with up to 8 columns, where users can select file previews or placeholder images to dive into folders and open files. See File Preview for file types that can be previewed.

  • Tree View: Displays files and folders in a hierarchical list with expanding and collapsing nodes, which users can use to browse the structure.

Size

Select a widget size that affects how many files and folders can be displayed simultaneously. Options include: 

  • Auto: The widget will adjust size to display all select files and folders.
  • Small: The widget will adjust its size to display rows of approximately 5 list items or 1.5 item thumbnails or placeholder images with a scroll bar to view any further selected items.
  • Medium: The widget will adjust its size to display rows of approximately 10 list items or 3 thumbnail or placeholder images with a scroll bar to view any further selected items.
  • Large: The widget will adjust its size to display rows of approximately 15 list items or 4 thumbnail or placeholder images with a scroll bar to view any further selected items.
Sort by

Select a sorting option for how files and folders are displayed in the widgets. Options include: 

  • Alphabetical
  • File Type
  • Last Modified 
  • Owner
Display options

Select checkboxes to hide different components of the widget from displaying. Options include:

  • Owner
  • Creation Date
  • File Type
  • File Size
  • Modified

The following options are unchecked by default: 

  • Creation Date
  • File Size

Note:

The digital workplace theme determines the appearance of the widget's content unless a widget setting specifically overrides a theme setting. See the Theme article for more information.
