Role

A role is a collection of access permissions that, when applied to a user or group, defines how those users can interact with the digital workplace. Roles are divided into two categories: workplace roles and file manager roles.

Workplace roles

To access and view content in the digital workplace, you must belong to a group with at least a reader role to a site in the digital workplace. Workplace roles are applied to groups on a site-by-site basis in the Site Manager. See Assign or edit access permissions for a site. Some digital workplace features depend on the user's roles and associated access permissions to be visible to the user. These include Admin Settings, Campaign Manager, the + Create button, and sites in the Top Bar's menu.

As the caretakers of a thriving digital workplace, workplace administrators have all possible access permissions assigned to their role. In addition, they can access all files and folders as if they had the full file manager role. This role should be assigned sparingly, and a site administrator role should be applied site-by-site when additional access is needed. Workplace roles

File manager roles

File manager roles only apply to the files and folders in the File Manager. Files and folders are not governed by workplace roles, except that the workplace administrator workplace role provides the same access permissions as the full file manager role. Keep in mind that:

  • Owner role: The owner role designates that the user is responsible for maintaining the file or folder. This may often be the same user who uploaded the file or created the folder. 
  • Inheritance: Files and folders in the File Manager can inherit their access permissions from the folder containing them.
