Embed a file into content

You can embed a file directly into an article, a wiki, a file preview widget, or an HTML content widget on a page to display the file to users.

Considerations

  • Embedding files: Files can only be embedded directly into content within the digital workplace. They cannot be embedded outside of the digital workplace.
  • File types: You can only embed files that can be previewed in the digital workplace. See File Preview for a list of previewable file types. 
  • Authentication: Users must be signed in to the digital workplace and have appropriate access permissions to view the embedded file. If the user cannot access the file, an "Access Denied" or "You do not have permission to view this file" message will be displayed.

Find the file's embed code

As a user with at least a File Manager role of reader to the file:

  1. Go to the file you want to embed into content elsewhere. Options include:
    • Search for the file in the Top Bar's search box and open it. 
    • On the Top Bar, select Profile Menu, followed by Manage Files. Navigate to the file and open it. 
  2. Select Menu and then Copy Embed Code. Use this code to embed the file into articles, wikis, or the HTML Content widget in the digital workplace. 

Embed the file into articles and wikis

As a workplace administrator, site administrator, or creator, you can embed the file in articles or wikis. Follow the instructions in Create or edit an article or Create or edit a wiki to create your article or wiki as normal. Before publishing the article or wiki, you can embed the code: 

  1. While in the rich text editor, select Tools in the menu, then Source Code
  2. In the editor, find the location in the code where you want to paste the code. Press Ctrl + V to paste the code. 
  3. Select Save
  4. (Optional) You can select the edge of the iframe and drag and drop it to change its height and width. 

Embed the file with a file preview widget

As a workplace or site administrator, you can embed the file directly into a file preview widget. Follow the instructions in Configure a file preview widget

Embed the file into an HTML content widget

As a workplace administrator or site administrator, you can embed the file into an HTML content widget. Follow the instructions in Configure a HTML content widget. Before publishing the widget, you can embed the code: 

  1. While in the rich text editor, select Tools in the menu, then Source Code
  2. In the editor, find the location in the code where you want to paste the code. Press Ctrl + V to paste the code. 
  3. Select Save
  4. (Optional) You can select the edge of the iframe and drag and drop it to change its height and width.
