Content versioning allows you to track, view, and manage multiple versions of articles and wikis. With each new publication, a version is created and stored, allowing you to access a detailed history of changes, compare different versions, and restore previous versions as needed. Content versioning ensures greater content accuracy, transparency, and control over published content while providing a streamlined interface for managing historical changes. While the most recent content version is always visible to users, past versions can be accessed and viewed if you have sufficient access permissions.

Actions that trigger a new content version
The following actions trigger new content versions and will send a notification to users following the content's feed:
- Selecting Publish Now after performing any of the following editing for published content:
- Changing title
- Changing summary
- Changing the body
- Changing the featured image
- Adding a new language translation
- Adding or removing file attachments
- Restoring to an older version of the content
Changing an article or a wiki's Content Settings (except for featured images) will not trigger a new content version.
Restore to a previous version of content
On the Version History page, as a workplace administrator, site administrator, or creator, you can access the different versions of the content to compare them, immediately restore them, or restore them after making content edits. For instructions, see Restore to a previous version of content.
Keep in mind that on the Version History page:
- Supported versions: Content versioning supports up to 50 versions at any time.
-
Version information: Versions are identified by the date and time the version was created and the user who created it. Additionally, the status of the content will be indicated by:
- Content in the Draft state will be indicated by a "Draft" status and the text "New draft has been created and saved."
- Once the content is in the Published or Scheduled to Publish state, the status will be "Current" or "Previous." Scheduled to Publish content does not create another version when published.
Additionally, when content is deleted and restored from the Trash Bin, it retains all previous content versions.
Archive content versions
On the Version History page, as a workplace administrator, site administrator, or creator, you can access the different versions of the content to archive or unarchive them. Archiving content versions allows them to be used as reference versions that cannot be restored. See Archive a content version or Unarchive a content version.
Delete content versions
As a workplace administrator, you can permanently delete a content version to ensure compliance with data retention policies or remove Personally Identifiable Information (PII). See Delete a content version. Once deleted, it cannot be restored to the digital workplace.
