Igloo authentication

Igloo authentication is the platform's built-in authentication system for new digital workplaces, small organizations, and organizations without large-scale IT infrastructure (such as a dedicated member directory). Users can log in with a username and password managed directly within Igloo Flex. 

Details

When you are added to the digital workplace via Igloo authentication, you must activate your account on the Account Activation page before logging in. You can start this process by clicking the link in an automated email or SMS text message. For more information, see Activate your account.

When creating your password, keep in mind these requirements: 

  • Between 8 to 16 characters long (The number of required characters is configurable for each digital workplace on the Login Settings page.)
  • At least one uppercase letter (A-Z)
  • At least one lowercase letter (a-z)
  • At least one number (0-9)
  • At least one special character (e.g. ~!@#$%^&*_ )
  • (Optional) Cannot match any of the last previously used 1 to 3 passwords. (The number of passwords is configurable for each digital workplace on the Login Settings page.)

Once you have activated your account, you can log in by visiting the Login page. The Login page's URL is the digital workplace's URL with /login appended to it. For example:

When using Igloo authentication, keep in mind that: 

  • Account cooldown: If you fail to log in 5 times per login session, your account will be placed in a 10-minute cooldown period. During the cooldown, you cannot log into the digital workplace. However, you can reset your password or contact a workplace administrator to request a password reset, allowing you to log into the digital workplace. See Reset your Igloo authentication password.
  • Resetting your own password: When logged in, you can reset your own password and security questions via the Profile Menu on the Top Bar. When logged out, you can request a password reset link be sent to your email by selecting Forgot password? on the Login page. See Reset your Igloo authentication password.
  • Rate limiting: When attempting to reset your password or request or enter security codes, you may encounter an error message "Too many attempts. Please try again in a few minutes." indicating that you have performed the action more than 3 to 5 times in a minute. Wait a few moments and try again. 

Configure Igloo authentication

As a workplace administrator, you can add or remove users individually, or via Bulk User Upload or Bulk User Delete. See the following articles: 

As a workplace administrator, you can configure the following settings in the digital workplace: 

  • Geo Access Restrictions: You can restrict the countries from which users can log in to the digital workplace when authenticating with SAML SSO. If the user's current IP address location is not allowed, they will receive an error message: "You are not allowed to log in from your current location." When encountered, users should check in with a workplace administrator to ensure their country is granted access to the digital workplace.   • User login settings: You can configure the required password length, forced expiry date, and the ability to prevent the reuse of a specified number of passwords. For instructions on configuring these settings, see Configure user login settings.

Lastly, as a workplace administrator, you can send a manual user activation invitation via email or SMS text message from the Users page, allowing a user to access their account and set their password. See Send a user activation invitation.
